Room mapping and merged mapping


When integrating with international booking portals such as Booking.com, Airbnb, and Expedia and others, we establish a connection between the accommodation type in Previo and the corresponding room type on the portal.

By default, this mapping follows a 1:1 ratio, meaning one accommodation type in Previo is linked to one room type on the booking portal.

Example:
A “Double Room” in Previo (ID 932671), which includes four rooms, is linked to a “Double Room” on Booking.com (ID 857151103).

In this case, we send availability details for the “Double Room” type to the Booking.com calendar including a total of 4 rooms, as well as the prices and restrictions set in the Previo pricelist.


Merged Mapping = Combining Multiple Room Types into One Link

If you have multiple similar accommodation types set up in Previo (typical for apartment operations), they can be merged within the linking process upon request.

In this way, data can be sent to one room type in the booking portal for all merged room types from Previo together. This process is referred to as merged mapping.

In this case, the linking is not set at a 1:1 ratio but, for example, 2:1—meaning two accommodation types from Previo are linked to one room type on the booking portal.

Example:

A Double room from Previo (ID 932671) and a Double room with garden view (ID 964909) are merged and linked to a single Double room type on Booking.com (ID 857151103).

For such a setup, it is necessary to specify the Primary room type—the room type from which availability, prices, and restrictions (including rate plan closures from the price list) are sent.

From other merged room types (Secondary) only availability will be sent, which means the number of rooms for sale.

In this example, the Double room (ID 932671) is set as the Primary room type, so its prices and restrictions are transferred to the Booking.com calendar. However, the total availability is calculated by combining both room types, resulting in 6 rooms available for sale.

Transfer Example:

In this particular example you can see the following:

Price: it is always transferred from the Primary Category. This means that the cheaper price from the Previo pricelist for the secondary room type Double room with garden view (EUR 180) is not available.

Room type closure: 12.2.2025: Primary room type is closed. For this reason, no rooms are available on offer.
In term 6-8.2.2025 the secondary room type Double room with garden view is closed. However, the closure information is not transferred to the Booking.com calendar as the restrictions (including closure) for the secondary category are not transferred.

Restrictions on minimum length of stay: the same applies – for example, the restriction on a minimum length of stay of 3 nights for 10.2.2025 for the secondary category is not transferred to the Booking.com calendar.

ATTENTION! The restriction or price set in the merged mapping for the secondary room type will not be transferred to the portal.

If you frequently work with restrictions, regularly close different room types, or change prices often, we do not recommend using merged mapping.


Creating a reservation for a room type with merged mapping

ROOM AVAILABLE YES – If you receive floating reservation and the email about new reservation says there is free availability, there is probably no contiguously available room.

It is neccessary to reorganize and move some of your reservations to make a free space for a new floating reservation. Thanks to this you dont have to move your guests from room to room during their stay. For instructions on how to assign an unassigned (floating) reservation to a room, please refer to here.

ATTENTION: In the case of a merged mapping, it must be taken into account that the system works with the total capacity of all room types included in the mapping.

This means that a term may be available for part of the stay in one room type and the rest in another room type. This should be taken into account when managing bookings.

ROOM AVAILABLE NO – If you receive floating reservation and the email about new reservation says there is not free availability, it may mean that availability (rooms for sale) from a secondary room was sent to the portal. However, this room has a restriction (called stopsell = closure) in the price list set.

For Example:

The Primary room (Double Room) is no longer available from 10.2.-12.2.2025, but there are still 2 rooms available in the secondary room type (Double Room Garden View).

Since only information about rooms for sale is sent to the portal from the secondary room, the closure restriction is not transferred.

In this way, the portal will show that there are 3 rooms available. A reservation may be accepted, but due to the room type closure in the price list, it will not be saved to the reservation calendar, which means the reservation will be marked as floating.


How to close the secondary room?

If you wish to close a secondary room for sale, you have two options:

  • Closing rooms via the canvas (Previo reservation calendar) – this will block secondary rooms for booking or reduce the number of rooms available for sale.
  • Manually adjusting availability (rooms to sell) in the price list – by setting the number of available rooms to zero in the price list, the room will no longer be available for booking.

If you are a user of the merged mapping and due to the limited transfer of price information and restrictions to the portals this system does not suit you, we recommend that you also create a separate room type for each type of accommodation from Previo on the individual portals.

This setup will allow for a 1:1 mapping (see the introduction to this page), which means that each room type in Previo will be linked to one room type on the booking portal. In this way it will be possible to fully transfer all information about rates, restrictions and availability without limitations.
