What are contingents?

Contingents can “pre-book” rooms for specific partner for certain time period.

You are usually supposed to keep contracted rooms unoccupied. Partners have kind of an option for booking these contracted rooms. This option is called contingent. Contingents have expiration date when preliminary booked rooms are released back to sales (channel manager, booking engine, etc.).

We will now show you everything about contingents settings and we will show you example of their use.

New contingent can be created using the button with green plus icon.

Now you need to set up contingent parameters:

  • Partner – contracted partner/company/travel agency which is listed in your company database.
  • Room type – you select the room type not specific room.
  • Expiration in days – after the expiration of contingent, rooms will released back to sale for regular guests.
  • Number of rooms in contingent – how many rooms of selected room type will be blocked by contingent.
  • Date from/to – time period during which rooms will be blocked for contracted partner.

Available rooms section in reservation calendar will then contain some additional information about occupancy and use of created contingents.

  • Contingents set – total number of rooms which are blocked by contingents (for example 10 rooms with active contingents for certain date)
  • Contingents remaining – how many rooms are still bookable/preliminary blocked for contracted partners (for example from 10 rooms in contingents we still need to keep 7 remaining room which might be still booked by the contracted company)
  • Available for contingents – how many rooms which should be blocked by contingents is really available in reservation calendar.

If Contingents remaining = Available for contingents you still have enough rooms for contracted partner even if they would book/use all remaining contingents.

If this number is negative, you might have a problem. Rooms which are supposed to be blocked by contingents are already occupied with other “non-contingent” reservations (for example with manually created ones).
